1. Initial Connection Check
Most "printer not working" tickets are caused by simple connectivity drops.
Physical Power: Confirm the unit is plugged directly into a wall outlet (avoid power strips if possible).
Status Lights: Check for blinking amber or red lights.
Solid Green: Ready.
Blinking Amber: Paper jam or low toner.
Solid Red/Blinking Red: System error or hardware failure.
Network (Wi-Fi/Ethernet): Print a Network Configuration Page from the printer menu to verify it has a valid IP address.
2. The "Clear the Clog" Method
If the printer is "Online" but won't print, the print queue is likely stuck.
Cancel All Documents: Clear the print spooler on the user's computer.
Power Cycle: Use the 10-10-10 Rule:
Turn off the printer for 10 seconds.
Unplug the router for 10 seconds.
Restart the computer for 10 seconds.
Test Print: Attempt a "Self-Test" page directly from the printer hardware to rule out computer/driver issues.
3. Driver & Software Verification
If the hardware prints a self-test but won't print from the PC:
Default Printer: Ensure the correct printer is selected as "Default" in Windows/macOS settings.
Driver Update: Check if a "Generic" driver is being used. Download the manufacturer-specific PCL6 or PostScript driver for full functionality.
Port Check: Ensure the printer port matches the IP address found in Step 1.
4. Hardware & Consumables
Toner/Ink levels: Verify cartridges are seated correctly and the protective orange tape has been removed.
Paper Trays: Ensure the paper guides are snug against the paper; loose guides often cause "Out of Paper" false alarms.
